Family Harbor — Privacy Policy

Effective Date: August 27, 2026

Policy Version: 1.3

Family Harbor (the "Service") is owned and operated by Jenkins Legacy Group ("Company," "we," "us," or "our"), a company organized under the laws of the State of Utah, United States.

In short: Your information stays private. We use it only to operate Family Harbor for you and your family, and we never sell it or share it with outside companies for marketing or advertising. The medical, legal, and personal details you store are visible only to the members of your own Harbor. The full policy below explains exactly how, for anyone who wants the details.

This Privacy Policy explains what personal information we collect, how we use it, who we share it with, and the choices you have. It is incorporated by reference into our Terms of Service. If you do not agree with this Privacy Policy, do not create an account or use the Service.

1. Our Core Privacy Promise

We do not sell your personal information. We never share it with third parties for their own marketing or advertising purposes.

We only work with a small number of trusted service providers who help us operate Family Harbor (for example, hosting, email delivery, and image storage — see Section 4). Each of these providers is contractually and technically limited to using your information solely to help us provide the Service to you — never for their own independent use, and never to build advertising profiles.

This promise applies to everything you and your family store in Family Harbor, including sensitive information about the person you are caring for.

2. Information We Collect

Account information you provide directly:

  • Name, email address, and password (or Google account information if you sign in with Google)
  • Your relationship(s) to the Care Recipient (for example: spouse, adult child, professional caregiver)
  • Your date-of-birth confirmation (that you are 18 or older)
  • A profile color you select to identify yourself within a Harbor

Care-related information you or other Harbor members choose to enter:

  • Calendar events, tasks, and to-do items
  • Medical information (medications, appointments, conditions, and similar notes) about the Care Recipient
  • Contact information for other caregivers, family members, or medical providers
  • Any documents, notes, or photos uploaded to a Harbor

Information collected automatically:

  • Basic technical information needed to operate the Service securely (such as sign-in timestamps and device/browser information used for account security)
  • A record of certain account actions and of emails we send you — for example that an invitation, password reset, or account-cancellation email was sent, and the address it was sent to. This record notes what happened and when; it does not include the contents of those emails, their subject lines, or anything stored inside your Harbor. It is kept for support and security purposes and is described further in Sections 6 and 7.

We do not use tracking cookies for advertising, and we do not sell any information we collect to data brokers or advertisers.

We also collect limited information from people outside your Harbor who claim a slot on a sign-up you share — see Section 9.

3. How We Use Your Information

We use the information described above only to:

  • Create and maintain your account and Harbor(s)
  • Let Harbor members coordinate care — shared calendars, tasks, and updates only reach the members of that specific Harbor
  • Send you emails necessary to operate your account (invitations, password resets, confirmations, and security notices) — see Section 7 for your choices about non-essential communications, and, unless you opt out, occasional announcements when we publish a new article
  • Maintain the security of the Service, including detecting and preventing unauthorized access
  • Provide customer support when you contact us
  • Comply with legal obligations

We do not use your information, or the Care Recipient's information, to train third-party advertising systems, and we do not analyze your health-related entries to build advertising or marketing profiles.

4. Who We Share Information With

We share information only in these limited circumstances:

Service providers who help us run Family Harbor, each bound by their own privacy and security commitments, and used solely to deliver the Service to you:

  • Google Firebase / Google Cloud — hosts our database and handles account sign-in
  • Resend — delivers transactional emails (invitations, password resets, notifications) on our behalf
  • Cloudinary — stores photos and files you upload
  • Vercel — hosts the Family Harbor website and application

Other members of your Harbor. Information you enter into a Harbor is visible to the other members of that same Harbor, consistent with the purpose of the Service — coordinating care as a group. It is not visible to members of any other Harbor, and is not visible to the public.

Our support staff. A small number of authorized employees can access account information — your name, email address, which Harbors you belong to, and the activity record described in Sections 2 and 6 — in order to help you when you contact us. Access is restricted to specifically approved staff accounts.

Legal requirements. We may disclose information if required by law, subpoena, or court order, or if we believe in good faith that disclosure is necessary to protect the safety of a user, the Care Recipient, or the public.

Business transfers. If Family Harbor is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this Privacy Policy (or a policy providing at least equivalent protection).

We do not otherwise sell, rent, or share your information with third parties, including for their own marketing or advertising purposes.

5. HIPAA and Health Information

Family Harbor is a consumer tool for voluntary family information-sharing, not a healthcare provider, health plan, or healthcare clearinghouse. We are not a "covered entity" or "business associate" under the Health Insurance Portability and Accountability Act (HIPAA), and information stored in the Service is not protected health information under HIPAA. See Section 8 of our Terms of Service for more detail. Regardless of HIPAA's technical applicability, we apply the same privacy protections described in this Policy to all information stored in the Service, including medical notes.

6. Security

We use industry-standard measures to protect your information, including encrypted data transmission, database-level access rules that restrict data to only the members of a given Harbor, and routine backups. Family Admins may additionally restrict designated sensitive information to themselves and the members they choose, with a passcode as an extra step when viewing it (see Section 7 of our Terms of Service for the limits of this feature).

We keep a security and activity log recording certain account actions and the emails we send — for example, that an invitation, password reset, or deletion notice was sent, and the address it was sent to. This log records only that an event occurred and when. It does not contain the contents or subject lines of those emails, and it does not contain the medical, legal, or personal information stored inside your Harbor. It is not visible to other Harbor members and is used only for support, security, and troubleshooting.

This log is retained after an account is deleted. See Section 7.

No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

7. Your Choices and Rights

Access and correction. You can view and edit most of your account information directly within the Service.

Keeping a copy. Before deleting a Harbor or closing your account, the account owner or a Family Admin can download a copy of the Harbor — its records as web pages and spreadsheet files, together with the files that have been uploaded to it. The copy is assembled in your browser and saved to your device. We do not keep a copy of it and cannot retrieve it for you later. It contains only information the person requesting it is permitted to see, so material that only Family Admins and the members they have granted access to can see is included only for those people.

Deletion. You may cancel your account or delete a single Harbor at any time.

Deletion is immediate and permanent. It cannot be undone, by you or by us. When you confirm, the Harbor's contents — tasks, notes, contacts, medical and legal records, and uploaded files — are deleted from our systems and from our file-storage provider. Deleting your account also removes your profile and your sign-in credentials. There is no waiting period, no recovery window, and no way for our support team to restore what was deleted. Please be certain before confirming.

Deleting a Harbor deletes it for every member of that Harbor, not only for you.

What is retained after deletion. The security and activity log described in Section 6 is kept after an account or Harbor is deleted. It records what happened and when — for example that an account was created, that an invitation was sent, and that a deletion occurred — together with the email address messages were sent to. It does not retain the contents of your Harbor, your profile details, the contents or subject lines of emails, or any medical, legal, or personal information you stored. We keep it so that we can answer questions about an account, investigate security issues, and support people who contact us after the fact.

Leaving a Harbor. Any member (other than the Harbor's admin) may remove themselves from a Harbor immediately, at any time.

Essential vs. non-essential email. Emails necessary for your account's operation and security — invitations, password resets, and deletion or cancellation notices — cannot be turned off, since they are required to use the Service safely.

We also send occasional announcement emails, to the address on your account, when we publish a new article. These are optional. Every one of them carries a one-click unsubscribe link and our mailing address, and you can turn them off at any time in your account settings. Unsubscribing from announcements has no effect on the essential emails described above — those continue, because they are part of operating your account.

Requests. You may contact us at any time (Section 10) to ask what information we hold about you or to request deletion beyond what's available directly in the Service.

8. Children's Privacy

Family Harbor is not directed to children, and you must be 18 or older to create an account, consistent with our Terms of Service. We do not knowingly collect account information from anyone under 18. Information about a Care Recipient of any age may be entered into the Service by an authorized adult family member or caregiver as part of coordinating that person's care.

9. If You Sign Up to Help

Family Harbor lets a family create a sign-up — a list of specific ways people can help — and share a link to it. If someone sent you that link and you claimed a slot, this section is about you. You do not have a Family Harbor account, and signing up does not create one.

What we collect from you. Your name and email address, which are required so the family knows who is coming and so we can send you a confirmation. Your phone number and a comment, if you choose to add them.

Why we collect it. To confirm what you signed up for, to remind you before it happens, to let you cancel, and to tell the family who is helping and when. Nothing else.

Who can see it. Your full name, email address, phone number and comment are visible to the members of the Harbor that created the sign-up — the family you are helping. On the public sign-up page, anyone with the link sees only your first name and last initial. Your email address, phone number and comment are never shown on that page.

Emails you will receive. A confirmation when you sign up, a reminder before your commitment, a notice if the family changes something, and a confirmation if you cancel. That is all. We will not add you to a mailing list, we will not send you marketing, and we will not use your address to invite you to create an account.

Cancelling and removal. Every email we send you includes a link to cancel your sign-up. Cancelling removes you from the family's calendar. You may also contact us (Section 10) to ask us to delete the information we hold about you.

How long we keep it. Your sign-up stays with the family's records while it is relevant to them, and is deleted when they delete the sign-up or their Harbor. The security and activity log described in Section 6 records that an email was sent to your address; that record is kept as described in Section 7.

We do not sell it. The promise in Section 1 applies to you exactly as it applies to our account holders.
